How do I use AI for marketing or administration?

A quote could be ready in an hour, if the right figures, the previous proposal and the current prices were not spread across five different systems.

In marketing and administration, AI pays off most in preparing the work:

  1. drafting copy for four channels from a single campaign idea
  2. producing a draft quote including a reference to the source data
  3. recognizing and analysing incoming invoices, and where possible completing them for your accounting system

In all of these processes a human ideally keeps final control, so that nothing reaches your customer or your books unseen.

How to approach it

Pick one task where friction shows up every day and write down which step AI can take and which step the human has to keep. That process description gives you a sharp view of how something actually works. You will find that mapping the process tells you a great deal about what to automate and how. The result: AI writes the draft quote in minutes and adds the sources; you check it, adjust it and approve. Or: AI writes the campaign copy for LinkedIn, email and the site based on the original campaign idea and the brand guidelines, and the marketer stays responsible for the message. One more example: AI reads incoming invoices, corrects what it can, asks for extra information where needed, and queues them for review and posting by the finance team. That division on paper, the process description, matters more than which tool you choose, because the process is where you define who stays accountable. For personal work such as emails, reports and summaries, a simple AI subscription is enough and any custom build is usually a waste of money.

Run the system for four weeks and agree the KPIs up front, for example the lead time of a quote. If it gets faster without the quality dropping, you expand. If not, you know exactly where friction shows up, and that is worth something too.
